1. Organize receipts and expenses
Photograph receipts while stopped and store the original image. AI can suggest the merchant, date, amount and category. Always review the result before it becomes a permanent accounting entry. Common trucking categories include fuel, repairs, tires, tolls, scales, permits, insurance and supplies.
2. Calculate true profit per trip
Rate per mile is useful, but gross rate alone does not show profitability. Record loaded miles, deadhead miles, gross revenue, fuel cost, factoring fees, tolls and other trip expenses.

3. Prepare a broker negotiation
Give the assistant the lane, offered rate, total miles, appointment constraints, weight and your documented costs. Ask for a short counteroffer script with a target rate and fallback position. Verify every factual claim before calling the broker.
4. Translate compliance language
AI is useful for converting dense regulatory language into a checklist. It is not a substitute for the current FMCSA regulation, an officer’s instruction or professional legal advice. Include the exact regulation text and ask the model to identify requirements, records and questions that still need authoritative confirmation.
